Position overview

Lower 48 Energy is seeking a highly organised and proactive Executive Assistant and Office Manager to primarily support the CEO and senior leadership team. You will play a crucial role in aiding the efficient operations of our leadership team by providing proactive administrative and organisational support. In doing so, you will be helping to drive the growth of the business during an exciting period of expansion following the recent investment from Castleton Commodities International (CCI) – a global energy commodity merchant.

In addition, you will help manage general office operations, as well as assisting the construction project management team by providing real-time data, project controls, procurement, and overall office support.

We would therefore prefer candidates who are happy and willing to be office based 5 days a week, working the hours of 9am – 5pm, with some flexibility. We are fortunate to be in a beautiful, newly refurbished period property in the heart of Bloomsbury with our own private garden, surrounded by pretty London “squares”, coffee shops, restaurants, historical places of interest and quirky shops.

Primary functions
  • Provide comprehensive administrative support to the CEO and senior leadership team.
  • Manage and co-ordinate calendars, ensuring they are updated and conflicts minimised.
  • Arrange internal and external meetings, setting rooms up, if need be, plus helping with travel itineraries and bookings.
  • Assist with the planning and execution of board-level meetings and events.
  • Prepare agendas and documents for meetings.
  • Take and distribute meeting minutes.
  • Ensure follow-up on action items from meetings.
  • Handle confidential information with utmost discretion.
  • Facilitate communication between the executive team and internal/external stakeholders.
  • Help prepare and edit correspondence, reports, and presentations.
  • Screen and manage incoming calls, emails, and correspondence.
  • Draft and edit emails, letters, and other communications on behalf of the CEO and/or senior leadership team.
  • Maintain effective communication channels between the CEO and other departments.
  • Help organise and maintain the CEO’s files and documents.
  • Expenses management, communicating reminders of process and policy.
Secondary functions

Office Management, Compliance, HR and Project Team Support

  • Oversee daily administrative operations, including managing office supplies, equipment, and facilities.
  • Act as the primary point of contact for office vendors, service providers and building management.
  • Be responsible for the compliance aspects of the office such as fire, health and safety and so on.
  • Help organise company events, meetings, conferences as required, as well as associate travel.
  • Collaborate with the construction project management team to provide support throughout various project phases.
  • Support HR with interview arrangements, feedback, candidate compliance and document management.
  • Assist with holiday register and HR administration.
Qualifications/Skills
  • Demonstrated at least 5 years’ experience as an Executive Assistant, ideally in a corporate environment.
  • Exceptional organisational and time management skills, with the ability to prioritise tasks and meet deadlines efficiently.
  • Excellent written and verbal communication skills, maintaining a professional and courteous demeanour.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Strong attention to detail and accuracy, coupled with a proactive and resourceful approach to problem-solving.
  • Ability to handle sensitive information and correspondence with discretion and confidentiality.
  • A Bachelor's degree or equivalent qualification is preferred but not essential.
  • Be well presented and articulate.
